Free, for good

No trial, no watermark, no account. Every template and feature is free.

02

Your details stay with you

The builder runs in your browser. Only the images your signature shows are stored, because email needs them online.

03

Built for Outlook first

Tables and inline styles only, round photos and buttons baked into images — so classic Outlook shows what you designed.

// Why it is different

More than a template you paste and hope.

Most free generators stop at a pretty preview. The hard part is what happens next — Outlook’s Word engine, Gmail’s limits, dark mode, images that never load. That is what the Studio is built around.

New · Motion

Motion that inboxes actually play

Ten animated templates: a glowing AI halo round your photo, an aurora call to action, a prompt that types your line, a handwritten sign-off, a live status light and more. Each is an animated GIF — the one kind of animation Gmail and Outlook play — kept light for phones, with the finished look in frame one for classic Outlook.

Try a motion template

26 layouts, recoloured to your brand

Every template previews with your own name and logo, in your colours, before you pick it.

See it as each inbox will

Switch the preview between Gmail, Outlook on the web and classic Outlook, in light and dark mode, on desktop and phone.

A health check before you install

Gmail’s 10,000-character limit, image count, width, dark-mode logos, contrast and broken links — checked as you type.

Images hosted for you

Logo, photo, social icons, banner, QR code and a strip of linked partner logos are prepared at retina resolution and hosted, so they load in Gmail too.

Team links with the brand locked

Design once, share a link: your team fills in their own details while the logo, colours and layout stay exactly as approved.

Smart start and import

Pick your industry for a ready-made starting point, take your brand colour from your logo, or paste your old signature to bring your details across.

// Install it

Step by step, for every inbox.

Copy your signature from the Studio, then follow the steps for the email you use. Each client handles signatures differently — classic Outlook and the new Outlook are not the same thing.

Gmail

  1. In Signature Studio, choose Copy signature.
  2. In Gmail, open Settings (the gear, top right) and choose See all settings.
  3. On the General tab, scroll to Signature and choose Create new. Give it a name.
  4. Click in the signature box and paste (Ctrl+V, or ⌘V on a Mac).
  5. Under Signature defaults, pick it for new emails and for replies/forwards.
  6. Scroll to the bottom and choose Save Changes.

Gmail limits signatures to 10,000 characters and only shows images that are online — the health check and image hosting take care of both.

Outlook on the web & new Outlook

  1. Choose Copy signature.
  2. In Outlook on the web (Microsoft 365 or Outlook.com) or the new Outlook for Windows, open Settings (the gear, top right).
  3. Go to Account › Signatures and choose + New signature. Name it.
  4. Click in the editor and paste.
  5. Under Select default signatures, choose it for new messages and for replies/forwards, then Save.

Microsoft 365 keeps signatures in your mailbox, so one set up here follows you to the new Outlook on other computers.

Classic Outlook for Windows

  1. Choose Copy signature.
  2. In Outlook, open File › Options › Mail › Signatures…
  3. Choose New, type a name and press OK.
  4. Click in Edit signature and paste.
  5. On the right, under Choose default signature, set it for New messages and Replies/forwards, then OK.

If pasting changes the spacing, choose Download for Outlook (.htm) instead, press Windows+R, type %APPDATA%\Microsoft\Signatures, put the file in that folder and restart Outlook. If a motion design shows as a still picture, tick Play animated GIFs under File › Options › Advanced; Outlook 2016 and older always shows the first frame.

Outlook for Mac

  1. Choose Copy signature.
  2. In Outlook, open Outlook › Settings › Signatures.
  3. Add a new signature (+), name it and paste into the editor.
  4. Choose it as the default for new messages and replies for your account, then close the window to save.

Apple Mail

  1. Choose Copy signature.
  2. In Mail, open Mail › Settings › Signatures, select your account and press +.
  3. Untick Always match my default message font.
  4. Click into the preview on the right, select its contents and paste.
  5. Close Settings, then pick the signature in Choose Signature for that account.

iPhone & iPad

  1. Open this page on your iPhone or iPad, load your signature (use My signatures or your share link) and choose Copy signature.
  2. Open Settings › Apps › Mail › Signature (on older iOS: Settings › Mail › Signature).
  3. Delete “Sent from my iPhone”, then touch and hold and choose Paste.
  4. If the formatting disappears, shake the device and tap Undo to keep it.

The Gmail and Outlook phone apps only accept plain text — use Copy plain text for those.

// Questions

Email signatures, answered.

Is Be Signature Studio really free?

Yes. Every template and feature is free, with no account, no trial and no “created with” link added to your signature. Be Digital builds it because the businesses who use it are the businesses we help with Microsoft 365, email and security.

Will my signature work in classic Outlook for Windows?

Yes. Classic Outlook draws email with Microsoft Word, which ignores modern web styling. Every Studio template is built from tables with inline styles, and round photos, rounded icons and pixel-perfect buttons are baked into images, so Word has nothing to get wrong. The preview has a classic Outlook mode so you can see it first.

Why are my images uploaded?

Gmail does not show images embedded in a signature, and Outlook on the web handles them inconsistently, so a signature image has to live at a public https address. When you copy your signature, the Studio stores only the finished images (logo, photo, icons, banner, QR code) on bedigital.group under random names. Your name, numbers and email address are never sent to us.

Does the Studio store my details?

Only in your own browser, so your work is still there next time on the same device. Share links carry the design inside the link itself. Clear it at any time with Start over.

Do animated signatures work in Outlook and Gmail?

Yes. Motion templates are animated GIFs, the one kind of animation email supports. They play in Gmail, Outlook on the web, the new Outlook for Windows, Outlook for Mac, Apple Mail and on iPhone. Classic Outlook 2016 and older shows only the first frame, so every motion design puts its finished look in frame one. Each animation is kept small so it loads quickly on a phone, and you can switch animation off to send a still image instead.

Can I add our other brands or partner logos?

Yes. Turn on Logo strip in Extras, add up to 12 logos and give each one its link. They sit in a tidy row under your signature, wrapped to fit a phone screen, and each logo opens its own website.

Can I show more than one office address?

Yes. On the Details tab, name your main office and choose Add another office for each of the others, with its own phone number if it has one. Show them as full addresses, one to a line, or as a short row of city names that each open the office on a map. Every office also goes into your contact card.

Can my whole team use the same design?

Yes. Design the signature, then choose Team link. Anyone who opens it can fill in their own name, title and numbers, while the logo, colours, layout and extras stay locked as you approved them.

Why does my logo disappear in dark mode?

Dark mode in Outlook and Gmail darkens the background but leaves images alone, so a dark logo with a transparent background vanishes. The health check spots this and can add a white backing plate to the logo for you.

How long can a signature be?

Gmail allows 10,000 characters of signature code. The Studio counts as you design and warns you before you reach it. As a rule, keep a signature under about 600 pixels wide and use the compact Reply Line layout for replies.

Can you set signatures for everyone automatically?

Yes — that is a managed service. For Microsoft 365 and Google Workspace, Be Digital can apply company signatures centrally so they appear on every email from every device, with no copying and pasting. Talk to us about it.

// For the whole team

Want every signature managed for you?

With Microsoft 365 or Google Workspace we can apply one approved signature to every person and every device centrally — new starters get it on day one, and nobody pastes anything.
