The short version
- The uses that pay back in this sector are Quote and tender drafting, Site safety documents and The office inbox.
- The ones that do not: “AI on site” products. — see why below.
- Start with one workflow, a 30-day pilot, and the data permissions fixed first.
- Governance is a one-page policy, not a project.
Construction and trades businesses have less paperwork in theory and more in practice: quotes, variations, site plans, safety documents, supplier emails, council correspondence. The office staff are drowning in it while the site staff never open a laptop. That shape decides where AI helps.

What does not work yet (and why)
- “AI on site” products. Drone surveys and progress-tracking tools exist and are useful on large projects; for a 15-person builder they are a cost without a return yet.
- Letting AI set prices. It does not know your margins, your subbies or this week’s timber price.
- Replacing the office manager. The tools make one good office person able to do the work of two. They do not do the work of zero.
What it costs, and what it gives back
Cost. An AI receptionist plan on the main number; Copilot for the estimator and the office manager only; the templates moved into SharePoint. For a fifteen-person building company that is a few hundred dollars a month, not thousands.
Return. The receptionist is the clearest number in any sector: every missed call that used to go to voicemail is now a captured job with an address. Builders we work with typically win back several jobs a month they would never have known they lost. The quoting time saved is the second return — more tenders answered with the same office team.
Risk if skipped. The phone keeps ringing out while everyone is on site, and the competitor who answers gets the job.
The 90-day plan
- Weeks 1–2: Past quotes, templates and safety docs into SharePoint; policy written; AI receptionist live on the main number.
- Weeks 3–6: Copilot pilot with the estimator and the office manager; time the quote-writing.
- Weeks 7–10: Switch on the AI features in your job-management system; connect it to Microsoft 365 where it can be.
- Weeks 11–13: Decide licences; quarterly review; keep the competent-person sign-off visible on every safety document.
Governance, in one page
Before any of this: a one-page AI policy saying which tools are approved, what may never be pasted into them (client identifiers, health, financial and legal detail unless the tool is inside your Microsoft tenant), and who owns it. We cover the page itself in a separate article, and Be AI aligns the work to ISO/IEC 42001 and the NIST AI RMF so the answer to “is this governed?” is yes.
Questions people ask
Can AI help with quoting and tenders?
Yes u2014 drafting from your past quotes, pulling specs out of tender documents and building the first version of a response. Pricing stays with a human; the time saved is in the writing, not the numbers.
What about health and safety documentation?
AI drafts site-specific safety plans and toolbox-talk notes from your templates quickly and well. A competent person still reviews and signs them u2014 that responsibility under the Health and Safety at Work Act does not move.
Our team is on phones on site, not laptops. Does any of this apply?
The site team mostly benefits from an AI receptionist that answers the phone and from automatic summaries of the dayu2019s photos and messages. The office team is where Copilot earns its licence.
Is our job-management software enough?
Fergus, Tradify, simPRO and the like are adding AI features; use them for scheduling and invoicing suggestions. The gap is correspondence, tenders and compliance documents, which live in Microsoft 365.
